Changing condominium management without the hassle

Requests with no answer, accounts nobody understands, works that never get going? Changing management is the owners' right. We explain how and handle the hard part.

Six steps to change management

    Ask for proposals

    Compare at least three. Check what's included, what's charged separately and how owners get to see the accounts. We'll send ours with everything itemised.

    Check the current contract

    Look up when the current administrator's term ends and the notice period in their contract, to avoid penalties.

  3. 3

    Call the owners' meeting

    The change is decided at an owners' meeting, by majority. If the current administrator won't call it, owners representing at least 25% of the building's value can do so (Article 1431 of the Civil Code). We help prepare the notice and the agenda.

  4. 4

    Elect the new management

    The minutes record the dismissal of the previous administrator and the election of the new one, and authorise the change of who has access to the bank account.

    Handover

    We ask the outgoing administrator for the documents and the accounts, and handle the change with the bank and the suppliers.

    Getting started

    We activate the portal for every owner, carry out a technical survey of the building and present the plan for the first year.

What the previous administrator must hand over

This is where many changes get stuck. We make the formal request, check everything and tell you what's missing.

Keep a copy of the minutes that elected the new management: it’s the document the bank and the suppliers ask for.

How to compare proposals

Before you choose, ask

  • What's included in the price and what's charged separately (extraordinary meetings, debt collection, works)?
  • Can the owners see the accounts and documents without having to ask?
  • Who is the building's manager and how do you reach them?
  • How are repair requests logged and followed up?
  • How are suppliers chosen and how many quotes are presented?
  • Is there a written contract, with a term and clear exit conditions?

Frequently asked questions

Questions about changing

Can we change in the middle of the contract?

It depends on the contract. The owners' meeting can dismiss the administrator (Article 1435 of the Civil Code), but the service contract may provide for a notice period or compensation. It's worth reading it before calling the meeting.

What if the previous administrator won't hand over the documents?

The outgoing administrator must render accounts and hand over the condominium's records. If they don't, we send a formal request and, if necessary, the condominium can go to court.

Do the owners have to do anything?

Only vote at the meeting. After that, each owner receives access to the portal and the new payment details.

How long does the change take?

It depends on the date of the meeting and how cooperative the previous administrator is. Once the records are handed over, the transition is quick and the condominium is never left without management in the meantime.
